Position: Executive/Administrative Assistant
Reporting to the Chief Librarian, the Executive/Administrative Assistant provides a variety of administrative support services to enhance the Library’s organizational effectiveness, including: book-keeping, payroll processing, record-keeping, recording and managing meeting minutes, researching information, and report preparation.
Responsibilities:
Administration
Maintains official Library records: Board and official meetings, warranties, official and confidential correspondence and other corporate documents
Controls management documents in an accessible and secure system, both online and virtual.
Records and manages agendas and minutes of Board meetings.
Plans and prepares Board meetings.
Prepares reports by collecting, analyzing and presenting information using standard software.
Assists in preparing salary forecasts, financial and confidential reports.
Provides information for the preparation of annual budgets, including creating and tracking budge data using standard spreadsheets.
Manages office and other supplies inventory.
Prepares statistics and reports as required.
Shares accountability for ensuring a safe and respectful workplace.
Bookkeeping
Maintains integral budget records.
Performs full cycle bookkeeping.
Manages banking transactions, petty cash and cash management procedures in compliance with City procedures.
Liaises with City officials regarding payroll and bookkeeping matters.
Processes payroll information for budgetary purposes.
Other duties consistent with job responsibilities.
Qualifications:
College Diploma in Business or Office Administration 3-5 years’ relevant experience as Executive or Administrative Assistant
Ability to build rapport and credibility with all organizational levels internally and with external parties including Board members.
Excellent math and accounting skills.
Demonstrated experience with standard office suite software, including database management, and record-keeping.
Proven interpersonal skills with experience providing complex administrative and executive support with tact, diplomacy and confidentiality.
Valid G-class License and access to a vehicle.
